Personal Learning Sessions Policies

Online Class Conduct:
All students and instructors will conduct themselves in a classroom-appropriate manner. Classroom-appropriate manner means that all parties will use kind, non-offensive language during the class session. Violating classroom conduct for either party will result in immediate action to remediate the situation.
The client will not share the private Zoom class link with outside parties (the term “outside parties” does not include sharing with other caregivers who will be helping the student log on or complete their class sessions).
The instructor will always keep their camera on unless turned off briefly while screen-sharing.
Students are recommended but not required to keep their cameras on.
Clients are responsible for providing specific topics, screenshots, or copies of school assignments to instructors a minimum of 4 hours before the start of class.
All of our instructors plan and coordinate their classes in advance. Assignments not provided to the instructor before the session may or may not be worked on during the session to ensure the quality of content and lesson integration. It is at the professional discretion of the assigned instructor to make that decision.
Students may receive emails from Delta Learning Space, LLC. These emails are with the approval of the primary caregiver. These emails are used to share resources and information and follow legal guidelines (Please refer to our Privacy Policy and COPPA Policy on our website, deltalearningspace.com).
For students aged 13 or younger, the primary caregiver will be included in all email communication.
Food and drink are permitted during the class, but please use good judgment to ensure the best learning environment can be met.
Classroom Materials:
Delta Learning Space LLC. shares educational and related materials and resources with clients. Clients may use the materials and resources for private, individual purposes. Clients may not share the materials and resources with others or use the materials and resources for commercial purposes.
Clients who share materials and resources received from Delta Learning Space, LLC. may be subject to termination of services from Delta Learning Space, with no refund awarded.
Class Instructor:
The client will be assigned a primary instructor to provide instruction regarding a discussed academic topic.
All instructors are required to arrive to class prepared and on time. The client will be notified if an instructor is late because of prior class delays.
If in the event that the primary instructor cannot attend the session, the client will be notified, and a substitute (if available) will be provided for that class hour. Notices will be provided a minimum of 48 hours before the scheduled class.
Any notices provided within 48 hours of the scheduled class are due to illness or emergency from the instructor or other pertinent Delta Learning Space Team members. In this event, the client can continue the scheduled class with a substitute instructor or accept a Session Credit to be redeemed within six months of the original class date.
All instructors at Delta Learning Space reserve the right to end the session up to 10 minutes before the scheduled end of class at their professional discretion.
Reserving classes:
All Personal Learning Sessions are reserved in “Block Hour(s).” Block hour(s) is a set number of sessions that will take place on a consistent day of the week and time for the upcoming pay period.
By default, the pay period is renewed monthly. Upon request, a client may change their pay period to bimonthly.
Block hour(s) days and times are prioritized for each client to retain a consistent schedule. All current students (except those on “pause”) have priority for their arranged day of the week and time.
Block hour(s) can be changed as availability permits. Block hour(s) can be rescheduled or canceled within the policy descriptions.
If block hour(s) is changed, the previous day of the week and time are no longer prioritized for the client.
Cancellation/Rescheduling:
Sessions can be rescheduled at no additional cost or penalty, with a minimum notice of 24 hours before the class session starts. Rescheduled sessions will occur as availability permits and must occur within six months of the original class schedule date.
Requests to reschedule within 24 hours are prohibited and subject to class forfeiture, except for emergencies or illness. Future sessions will resume at the scheduled date and time unless a confirmed change has been made with the Delta Learning Space Team.
Sessions can be canceled at no additional cost or penalty with a minimum notice of 24 hours before the class session starts. Session cancellations made 24 hours before the session time will receive a Session Credit to be redeemed within six months of the original date.
Cancellations made within 24 hours of the scheduled time will result in the forfeiture of the class session. Future sessions will resume at the scheduled date and time unless a confirmed change has been made with the Delta Learning Space Team.
If in the event of an emergency or illness, please contact the Delta Learning Space Team as soon as possible, and a Session Credit will be applied. This session can be rescheduled to another date and time as availability permits. Session Credits must be used within six months of the original class date.
Cancellations or reschedules due to illness or emergency will be honored and will not result in the forfeiture of the class hour. A Session Credit will be applied to the client.
All cancellations or reschedules need to be completed by phone or email. The client is responsible for canceling or rescheduling a class with the Delta Learning Administration Team. Verbal communication with your instructor during class time has yet to be confirmed.
A cancellation or reschedule communicated with the Head Instructor constitutes a confirmed change.
An email will be sent for all confirmed reschedules or cancellations to the email address provided by the client.
If the client would like to cancel sessions with Delta Learning Space, LLC. before the purchased session hours are completed, a pro-rated refund will be given. Qualified non-completed hours will be refunded to the original account (see specific policies for “End of Service”).
To cancel and terminate service with Delta Learning Space, LLC., an email stating the termination of service will need to be sent to the Delta Learning Space Team to be awarded a pro-rated refund of qualified hours.
Internet Connection:
We understand that connection issues can occur on both ends. If a connection issue cannot be resolved and prohibits a class from taking place, that class hour will be honored and scheduled for the next available time and date.
Redeeming Session Credits:
Qualified redeemable Session Credits are applied to our internal client accounts.
All clients with redeemable Session Credit(s) will receive an email confirmation with the total amount of Session Credits.
To redeem qualified Session Credits from cancellations or rescheduled classes, clients may reserve a class time as availability permits during the current pay period as communicated to the Delta Learning Space Team.
Session Credit hours cannot be scheduled within 4 hours of the desired class time.
If no Session Credit is used during the current pay period, the Session Credit will be applied and reflected on the following pay period’s invoice of Block Hour(s).
Clients must redeem Session Credits within six months of the class session date; after six months of the originally scheduled session date, the Session Credit will expire.
Additional Session Hours:
Additional Session hours separate from the Block Hour(s) booked can be purchased and reserved with the Delta Learning Space Team as availability permits. A separate invoice will be sent and must be paid by the client before the start of the class.
Clients will receive an email confirmation for reserving the Additional Session hour(s).
Additional Session hours cannot be scheduled within 4 hours of the desired class time.
Additional Session hours must be communicated with the Delta Learning Space Team through phone or email.
Verbal communication with your instructor does not constitute an official class reservation.
A verbal communication with the Head Instructor does constitute an official reservation of the class, and you will receive an email confirmation.
Pausing Sessions:
Clients on Pause do not have any scheduled Personal Learning Sessions during the current pay period.
Clients on Pause reserve any redeemable Session Credits on their accounts.
Block hour(s) days and times are not prioritized for clients on Pause. When clients return to service, they are subject to new class times and days as the current schedule permits.
End of Service:
If a client would like to end services with Delta Learning Space, LLC. for any reason before the completion of purchased class hours, qualified non-completed hours will be refunded into the original account via the original payment method.
If the reason for ending services was due to missed class sessions by the instructor, please notify the Delta Learning Space Team immediately, and a full refund will be awarded.
If the client violates the class conduct policy and a resolution cannot be met, Delta Learning Space, LLC. reserves the right to suspend services, and no refund will be awarded.
